Start with the assignment, not the form

A home inspection report, property data collection record and appraisal report serve different purposes. Define the assignment and the responsible professionals before choosing the fields, review steps or output format.

For software planning, keep three questions separate: what information is captured, who evaluates it and how the final result is delivered. A system can share photos or room information between workflows while still requiring different permissions, review criteria and reports.

This guide describes proposed application behavior. It does not replace professional appraisal judgment or current lender and agency requirements.

Give every observation a reliable place

A field app needs a stable way to connect a job, property, level, room and observation. Room names can change; identifiers should remain stable so a renamed kitchen does not lose its photos or notes.

  • Capture the observation, relevant photo references and the person responsible.
  • Distinguish an unanswered item from “not applicable” or “not inspected.”
  • Show pending uploads and prevent an incomplete synchronization from appearing complete.
  • Keep original evidence available when a reviewer requests a correction.
  • Define how duplicate jobs and conflicting offline edits are handled.

An illustrative acceptance scenario is a photo captured without connectivity, followed by a room rename before upload. The uploaded photo should remain associated with the same room record, and the app should clearly show whether the upload succeeded.

Make reviewer decisions traceable

A useful review dashboard helps people find missing or inconsistent information and send a specific correction request. The field user should see what needs attention without re-entering the entire report.

For floor plans, distinguish source geometry from reviewed measurements. A wall correction may change a room boundary or area, so the product should flag affected outputs for review. Keep the revision history understandable: what changed, who changed it and which report used that revision.

Agree whether an approved report can be edited, whether changes create a new revision and which users can release the result. Those decisions belong in the product scope rather than being left to an export button.

Where UAD 3.6 fits

The Uniform Appraisal Dataset is part of the appraisal reporting context. Fannie Mae describes the redesign as aligning the dataset with MISMO v3.6 and supporting a dynamic, data-driven appraisal report. That is broader than generating a branded inspection PDF.

For a UAD development project, agree the applicable specification, conditional data requirements, report behavior and validation rules. Also establish the intended delivery route and any required access or partner verification. An attractive report preview alone does not establish submission readiness.

Agree the handoff and acceptance checks

  1. Identify each output: inspection PDF, client portal record, editable plan or structured appraisal data.
  2. Define who may review, approve, export and request a revision.
  3. Test required, optional and conditionally required information against representative assignments.
  4. Check missing evidence, interrupted uploads and invalid data as well as successful paths.
  5. Agree the receiving system and how rejection or correction feedback returns to the team.
